The Client - Kennesaw State University

Kennesaw State University (KSU) is committed to promoting the success of students. In classrooms and laboratories, KSU students come into contact with dedicated faculty who are superb teachers and excellent researchers. In state-of-the-art campus housing, students become part of KSU's living-learning communities. And for life enrichment, myriad student organizations and activities are offered on campus.

KSU is the third largest state university in the University System of Georgia with 18,000 students enrolled in more than 55 academic programs. The diverse student body includes more than 1,500 international students from 132 different countries. KSU currently has more than 100 clubs, organizations and athletic activities that keep the campus alive with excitement and activity.

The Challenge

KSU needed to increase enrollment in order to generate additional revenue and meet its budget. The university believed an improved digital back office was the tool set they needed, so they focused on identifying and enhancing electronic data management.

The Process

Efficient processing is often overlooked as a competitive and powerful enrollment tool. The strategy is to provide state of the art processing behind the scenes, allowing students greater ability to self serve. Technology can become a secret weapon to advance conversions (enrollment). The KEY is having the right technology partner!

Kennesaw’s first goal for imaging was Archival Imaging that allowed for the following capabilities:

  • Immediate retrieval capabilities
  • Customer service and public relations
  • Front office, phones, and counselors
  • Simultaneous availability for multiple users (No File Chasing)

Soon, KSU phased into more advanced Nolij uses. The Nolij Solutions used by KSU included:

  • Nolij Transfer
  • Application Data Push for applications
  • SAT/ACT, TOEFL, Moodle, GACE download/data push
  • Nolij Web Electronic Workflow for file processing
  • Notepad for viewing/updating information

The Results

Effective Electronic Data Management (EDM) improved customer service and office efficiency while the system's “Real Time Handling” streamlined the admission process.

Enrollment was increased by:

  • Reducing time spent on chasing and building files as they move through the admission process
  • Providing rapid access to information by multiple users including both students and staff
  • Clearing up backlogs of technological convergence and sped up data entry.

Immediate results included:

  • Students notified earlier of credentials needed
  • Files completed sooner
  • Decisions made earlier
  • Technology has yielded a decrease in the necessary increase in staffing since implementation
